1. Scope of this policy

This policy covers information collected through dntlprope.shop (pages visited, form submissions, correspondence) and information received during the ordinary course of our posted services: residential and commercial property management, real estate appraisal, and escrow & agency work. It does not govern third-party websites we link to, and it supplements — never replaces — confidentiality duties in management agreements, engagement letters, escrow instructions, appraisal certifications or fiduciary undertakings.

2. Information we collect

2.1 Information you give us

• Contact details: name, company, email address and phone number sent through the contact form or email.
• Business correspondence: property addresses, unit counts, valuation questions, service requests and anything else you write to us.
• Engagement information: once a contract is signed, information reasonably required to perform it — owner and tenant particulars, lease records, trust account instructions, appraisal files, title and closing data.

2.2 Information collected automatically

• Server logs: IP address, browser type, pages requested and timestamps, collected by our hosting provider for security and delivery.
• No tracking pixels: we do not run advertising pixels or cross-site trackers on this website.

2.3 Information we do not want

Do not send rents, deposits, escrow funds, account numbers, wire details, tenant Social Security numbers or other regulated financial data through website forms or ordinary email. Trust money and regulated data are handled through the office's lawful channels only.

3. How we use information

• Responding to inquiries and posting the right wing on the right desk.
• Preparing engagement letters, management agreements, listing contracts and escrow instructions.
• Performing contracted services: rent rolls, reconciliation, statements, valuation research and closing support.
• Meeting legal, tax, licensing, trust-accounting and record-keeping obligations under Utah and federal law.
• Protecting owners, tenants, escrow parties and the company from fraud — including wire-fraud attempts — and enforcing our terms.

4. Legal bases & consent

We process personal information to respond to requests you initiate, to perform contracts you enter with us, to comply with legal duties (trust accounting, tax, licensing, anti-fraud), and for legitimate interests in running a secure, professional office. Where consent is the basis — e.g., optional correspondence — you may withdraw it by contacting us; withdrawal does not affect prior processing.

5. Disclosure of information

We do not sell personal information. We may share it with:

• Service providers hosting, email, accounting and record systems under confidentiality obligations;
• Transaction parties — title companies, lenders, co-agents and counsel — only as needed to perform a signed engagement;
• Regulators and courts where the law requires, including trust-account audits and lawful process;
• Successors if the business is reorganized or sold, subject to the same confidentiality.

6. Confidentiality of client files

Property files, tenant records, appraisal workpapers and escrow instructions are confidential business records. Access is limited to personnel who need it for the engagement. We do not discuss a file with third parties without the client's authorization or a lawful compulsion.

7. Security

We maintain reasonable administrative, technical and physical safeguards: restricted access to client files, segregated trust-account controls, encryption in transit for hosted services, and verification procedures before acting on any change in payment instructions. No system is perfectly secure; if we learn of a breach affecting your information we will notify you as the law requires.

8. Retention

• Website inquiries: retained while correspondence is active, then archived or deleted within 24 months unless an engagement follows.
• Engagement files: retained for the period required by Utah law, licensing rules, trust-account regulations and our document-retention schedule — typically at least the statute-of-limitations period for the transaction.
• Trust accounting records: retained per applicable escrow and trust rules, which may exceed our general schedule.

9. Your rights

Depending on your jurisdiction you may request access to, correction of, or deletion of personal information we hold about you, and may object to certain processing. We will honor requests as the law permits — noting that signed agreements, trust records and legal-retention duties may limit deletion. 10. Children

Our services are for adults and businesses. We do not knowingly collect personal information from children under 13. If you believe a child has submitted information, contact us and we will delete it.

11. Wire-fraud & impersonation warning

Real estate transactions are targets for payment-instruction fraud. We will never email you new wire instructions, changed payment details or unexpected requests for money. If you receive such a message claiming to be from DNTL, verify by phone at +1 (551) 310-5203 before acting — using a number you already know, not one from the suspicious message.
